About the Role

We are looking for an enthusiastic Graduate Events Assistant to assist in the running and production of our conferences, award ceremonies and invite-only breakfast events.

The role involves assisting with the organisation and administration of the events from conception to delivery, supporting the Events Manager. This is a fantastic opportunity for someone looking to take that first step on the career ladder in the world of events.

Main Duties & Responsibilities will include:

  • Updating and maintaining Mediatel Events website and delegate data on the central Mediatel database. Ensuring that the content is up-to-date and the latest speakers are added
  • Managing all ticket enquiries and registration spreadsheets. This will include fielding enquiries from potential delegates and ensuring they have all the information necessary to book and attend the events
  • Preparing pre event documents, e.g. delegate lists, name badges and signage for the events
  • Gathering collateral for the event from both Mediatel and event partners
  • Setting up the event venues as required (this may include evenings or early mornings prior to the event)
  • Supporting the Senior Events Manager at events - ensuring partners are looked after and their branding displayed correctly, managing the registration desk, liaising with the speakers, AV teams, caterers, and event venue staff
  • Preparing post event evaluations forms, collating results and feedback
  • Keeping the events materials in good order and ensuring stock levels of supplies are sufficient (e.g. banners, badges, pens, notepads, etc)
  • Researching new event venues, potential giveaways, suggesting new and creative event ideas to engage and enthrall customers
  • Assisting with the marketing of events where required

About You

  • Events Management Degree preferred
  • Some demonstrable experience of event organisation
  • Excellent organisational and time management skills
  • Excellent written and verbal communications
  • Ability to work calmly under pressure and in a team
  • Knowledge of Microsoft Office in particular Word, Excel and PowerPoint
  • Working knowledge of basic HTML would be beneficial but not essential
  • Events are early starts and late finishes which require focus and plenty of energy!
  • GCSE Maths and English

About the Role

  • Working with the Head of Events for the overall operational planning and delivery of events marketing strategy to an agreed schedule, within budget, and to agreed quality standards
  • Form marketing strategies designed for maximum customer engagement as well as meet ticket revenue targets
  • Create engaging marketing content utilising key messaging and speakers from the events across all platforms and channels
  • Ensure that the tone used across our platforms is audience-appropriate
  • Utilise Hubspot CRM segmentation to action email marketing campaigns
  • Ensure customer communications and queries received via emails and social media direct messages are monitored and responded to promptly and accurately
  • Manage and assist in the creation and implementation of website communications and content
  • Work with sales team to make sure all client assets are uploaded to website and other relevant promotional areas
  • Work with the Head of Operations to create key marketing messages onsite at venues
  • Ensure regular progress reporting which is timely, accurate and transparent
  • Work with the Events team to monitor progress, including post-project debriefs
  • Working closely with our editorial teams on The Media Leader and Videonet to make sure messages are aligned with the events, and to look at ways it which we can cross-market events and publications

About You

  • At least 1-2 years of successful event marketing management experience
  • A good understanding of creating and executing email marketing campaigns
  • Good understanding of marketing and social media trends and strategies in the events industry
  • A self-starter who takes responsibility for their targets
  • Experience and knowledge of marketing and events marketing related tools and analytics such as Google Analytics, Cvent and Hubspot an advantage
  • An understanding of social media scheduling and analytics applications an advantage
  • Has the energy, drive, and initiative to drive a project to its conclusion
